1. Placing Activities
 
The user will from time to time want to manually place both General and Subject Activities on the Timetable.
 
General Activities that will be placed will, for example include Assembly, Register and Breaks.
 
It might also be required that, for a specific Educator, a specific Subject Activity be placed on a specific day and period.
 
These actions will take place in two distinct phases in the Timetable Setup.
 
Note:      Best practice is to do the placement for the General Activities before doing subject allocations. Subject Activity Placement can per definition only
                          take place after Subject allocation has been completed successfully.
 
 
Placing an Activity is done as follows:
 
(i)     Select the General Activity or Subject Activity that must be placed from the General Activities List
 
 
 OR
 
the Subject Activities List respectively, by Left Clicking on he Activity Item in applicable list.
 
 
 
(ii)     The background color for the selected General or Subject Activity item will turn blue, indicating that it is selected.
 
(iii)     Once an Activity has been selected, the background color of the Period in the Timetable will change as follows:
 
 
 
 
a.         The Activity can be placed in the Period
 
b.         The Activity can but should not be placed in the Period.  This can happen in the following cases:
 
i.     The class already has the specific Subject on another period of the same day.
ii.     The Period is not in the preferred timeslot (Early, Mid or Late) for the Activity.
 
c.         The Activity cannot be placed in the period.  This can happen in the  following cases:
 
i.     When placing another General Activity will lead to an Educator, Class or Room being over utilized.
ii.     If the Educator associated with the Subject Activity has another activity placed in the period.
iii.     If the Class associated with the Subject Activity has another activity placed in the period.
iv.     If the Room associated with the Subject Activity has another activity placed in the period.
v.     If the Slot that is available is not long enough for the Subject Activity (double, triple or quad periods).
 
(iv)     Move the mouse cursor over any of the cells that are unavailable or not preferred to display the reason for unavailability.
 
 
(v)     Select the Activity by Left Clicking on the Activity.
 
(vi)     Move the mouse cursor to the Time slot Corresponding to the Day and Period where the Activity must be placed. Left Click on the Time slot where the
                      activity needs to be placed.
 
 
The Activity will be displayed in the slot should it be possible to place the Activity in the specific time slot.
 
 
 
Note:      When an activity is placed manually on the Timetable the Activity will be Locked in this Time slot. The system indicates that the activity is Locked in this
                          Time Slot by displaying a L as part of the activity description.
